Delegate Terms & Conditions
Version 2.0 · 16 September 2026 · These terms apply to everyone attending as a delegate.
1. About these terms
1.1LubeWear Live 2027 (“the Event”) is organised by Oil Analysis Laboratories Ltd (“OAL”, “we”, “us”), Unit 5, Creamery Business Park, Station Road, Mochdre, Colwyn Bay LL28 5EF, and takes place at Venue Cymru, Llandudno on 16–17 September 2027.
1.2These terms apply to everyone attending as a delegate, including people who register on the day. If you arrive without registering, these terms apply from the moment you enter, and a copy is available at the registration desk.
1.3The version shown when you registered applies to you. We may update safety, security and Venue instructions at any time, and they apply once we tell you about them.
1.4By registering you also agree to Oil Analysis Laboratories' general Terms of Service and Privacy Policy at oilanalysislab.com/terms-of-service-and-privacy-policy, which apply to your dealings with OAL. If anything in those differs from these terms, these Delegate Terms apply to the Event.
2. Registration and entry
2.1Entry is free. Places depend on capacity and a waiting list may operate. If you can no longer come, please let us know so we can offer your place to someone else.
2.2LubeWear Live is a trade event for people attending in connection with their work. Your registration is personal to you, and we may ask to see your badge or identification.
2.3Everyone attending must be 18 or over.
3. Changes to the Event
3.1We may change the programme, speakers, timings, rooms and other arrangements. If it becomes necessary, for example because of Venue closure, severe weather, travel disruption, public-health or security concerns, we may postpone, move, shorten or cancel all or part of the Event.
3.2Because entry is free there is nothing to refund, and we are not responsible for travel, hotel or other costs you incur because of a change or cancellation, except where the law does not allow us to exclude this. We recommend flexible or refundable bookings.
4. Conduct
4.1Please treat everyone with respect. Harassment, discrimination, threatening or abusive behaviour, violence, intoxication that leads to unsafe or disruptive behaviour, and deliberate disruption are not tolerated.
4.2Please follow instructions from OAL staff, Venue Cymru staff, security and the emergency services. We or the Venue may refuse entry to, or remove, anyone whose behaviour is unsafe, unlawful or seriously inappropriate. We are not responsible for any resulting costs.
4.3Alcohol at any social function is served under Venue Cymru's licence, and staff may refuse service. Do not drive, or join the lab tour or coach, after drinking.
4.4If something makes you feel unsafe or uncomfortable, tell any OAL staff member or the registration desk and the duty manager will deal with it.
4.5Exhibiting and sponsorship are booked separately. Delegates must not promote or sell products, hand out promotional material or approach people for business in aisles, seminar rooms, catering areas or on other companies' stands without our permission.
5. Health, safety and security
5.1Take reasonable care of yourself and others. Follow emergency and evacuation procedures and safety signs, keep fire exits clear, and stay out of build-up, loading and other restricted areas.
5.2Please cooperate with any security checks, including bag searches. Continued entry depends on it.
5.3First aid is available through Venue Cymru and OAL staff. In an emergency we may call the emergency services and share your name and any relevant information we hold with them. Please carry any medication you need.
6. Your belongings and damage
6.1You are responsible for your own belongings. We are not liable for loss, theft or damage to them unless it is caused by our negligence or breach of these terms. Lost property is handed to Venue Cymru.
6.2You are responsible for damage you cause deliberately or carelessly to the Venue, the lab or other people's property.
7. Photography, filming and recording
7.1The Event, including talks, will be photographed, filmed and recorded, and you may appear in the images. We use them to report on and promote LubeWear Live and OAL, for example on our websites and social media and in future event promotion. We rely on our legitimate interests to do this.
7.2If you would rather not be photographed, ask at the registration desk for a no-photos lanyard sticker. We will not use close-up images of people wearing one, but we cannot guarantee you will never appear in the background of crowd shots. We will ask before using a close-up, interview or testimonial of you in advertising.
7.3Please don't record a session if the speaker or OAL asks you not to, and respect other people who don't want to be photographed.
8. Talks, exhibitors and content
8.1Speakers and exhibitors are responsible for what they say and show. Their views are not necessarily OAL's, and we do not check every claim. Content is general information, not advice for your particular situation.
8.2Any purchase or agreement you make with an exhibitor is between you and that exhibitor.
8.3If OAL staff review your oil-analysis reports, offer free consulting or answer technical questions at the Event, this is free general guidance given in good faith on the information you provide. It is not a formal laboratory report or engineering assessment, and decisions about your equipment remain yours.
8.4Presentations and materials belong to their owners. You may take notes, but please do not copy, publish or sell them without permission.
9. Your information
9.1Our Privacy Notice at lw.live/privacy explains how we use your details. We do not sell delegate data.
9.2Exhibitors only receive your details if you choose to let them scan your badge or give them your details. They are then responsible for how they use them.
9.3We only send marketing emails if you ask for them, and you can unsubscribe at any time.
10. Food, allergies and access
10.1Food and drink are prepared and served by Venue Cymru's caterers, who are responsible for allergen information. If you have a severe allergy, speak to catering staff before eating and carry your medication.
10.2Venue Cymru has step-free access, lifts and accessible toilets. Tell us about any access needs when you register, or at any time before the Event, and we will do what we reasonably can.
11. The laboratory tour (optional)
11.1The tour of OAL's laboratory in Mochdre is free and optional, and places are limited. Your place is confirmed by email. We may change or cancel the tour, including on the day, for example because of laboratory work, safety or transport problems.
11.2The tour is for delegates aged 18 or over.
11.3The laboratory is a working site. Everyone must attend the safety briefing on arrival, wear closed-toe, flat shoes and any protective equipment provided, stay with the guide, not touch equipment or samples, and follow OAL's laboratory safety rules and staff instructions. Please don't come if you are unwell or have been drinking. We may refuse or end a place for safety reasons.
11.4If you have a medical condition, mobility need or allergy that could affect you in a laboratory, tell us before the tour or tell the tour lead at the briefing so we can help. Some areas have steps or limited space.
11.5No photographs or recording in the laboratory unless the guide says so. Please keep anything you see about customers, samples, results or methods confidential.
11.6If you book a coach seat: the coach is run by a licensed coach company, not by OAL. Be at the pick-up point 10 minutes before departure, because the coach cannot wait. Wear a seatbelt and follow the driver's instructions. If you miss the coach, you make your own way at your own cost. If you travel independently, arrive in time for the briefing. Parking at the laboratory is limited.
12. Liability
12.1Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
12.2Otherwise, we are not liable for loss of profit, business or opportunity, indirect losses, travel or hotel costs, or loss arising from relying on what a speaker or exhibitor says, or on free general guidance given at the Event.
13. General
13.1Venue Cymru may rely on sections 4, 5, 6 and 12 of these terms under the Contracts (Rights of Third Parties) Act 1999.
13.2If any part of these terms is found to be invalid, the rest still applies. These terms are governed by the law of England and Wales, and its courts have jurisdiction.
